This Privacy Policy applies to Prime ExpertPay HRMS Technologies LLC ("ExpertPay HRMS", "we", "us", "our") and governs our collection, use, storage, and protection of personal data collected through the ExpertPay HRMS platform at www.expertpay.ae and all associated services. By using our platform, you agree to this Privacy Policy.
1. Who We Are
Prime ExpertPay HRMS Technologies LLC is a UAE-registered technology company incorporated under the laws of the United Arab Emirates. Our principal office is located at 22nd Floor, Iris Bay Tower, Business Bay, Dubai, UAE. We develop and operate ExpertPay HRMS — a cloud-based Human Resources Management System (HRMS) platform serving businesses across the UAE.

2. Data We Collect
2.1 Customer Account Data
- Company name, trade licence number, and registered address
- Administrator contact details (name, email, phone number)
- Billing and subscription information
- Login credentials (encrypted)
2.2 Employee Data (Processed on Behalf of Customers)
- Full name, nationality, date of birth, and gender
- Emirates ID number, passport details, visa information
- Employment details — designation, department, salary, joining date
- Bank account details for payroll processing (WPS)
- Attendance records, leave balances, and overtime data
- Performance records and appraisal data
- Asset assignments and loan/advance history
- GPS check-in coordinates (when using geo-attendance features)
2.3 Technical and Usage Data
- IP address, browser type, and device information
- Log data — pages accessed, timestamps, session duration
- Cookies and similar tracking technologies
3. How We Use Your Data
- Service Delivery: To provide, maintain, and operate the ExpertPay HRMS platform
- WPS Payroll Processing: To generate MoHRE-compliant WPS SIF files and process payroll per UAE Labour Law
- Compliance: To meet UAE regulatory requirements including MOHRE, CBUAE (WPS), and Federal Authority for Identity & Citizenship (visa/Emirates ID) obligations
- Customer Support: To respond to queries, provide onboarding assistance, and resolve technical issues
- Security: To detect, prevent, and address fraud, abuse, and security incidents
- Improvement: To enhance platform features and user experience (using aggregated, anonymised data)
- Legal Obligations: To comply with UAE law, court orders, and regulatory requirements
4. Data Storage and UAE Data Residency
All customer and employee data is stored exclusively on servers physically located within the United Arab Emirates. ExpertPay HRMS does not transfer personal data outside the UAE, in compliance with UAE Personal Data Protection Law (PDPL — Federal Decree-Law No. 45 of 2021) and UAE data residency guidelines.
Our infrastructure is hosted in UAE-based tier-3 equivalent data centres with 24/7 monitoring, redundant power, and physical access controls.
5. Data Sharing
We do not sell, rent, or trade your personal data. We may share data only in the following limited circumstances:
- Government / Regulatory Bodies: UAE government entities (MOHRE, CBUAE, Immigration, FTA) as required by UAE law for payroll, visa, and compliance processing
- Service Providers: Trusted third-party providers (cloud infrastructure, email delivery, SMS) bound by data processing agreements and UAE data protection standards
- Legal Requirements: When required by a UAE court order, law enforcement request, or regulatory directive
- Business Transfer: In the event of a merger or acquisition, subject to the same privacy protections
6. Data Retention
- Active customer accounts: Data retained for the duration of the subscription
- Post-termination: Data retained for a minimum of 5 years in accordance with UAE commercial law requirements
- Employee records: Retained as required by UAE Labour Law (minimum 2 years post-employment)
- Log and audit data: 12 months rolling
7. Security
ExpertPay HRMS employs industry-standard security controls including:
- AES-256 encryption at rest and TLS 1.3 in transit
- Role-based access controls (RBAC) with multi-factor authentication
- Regular security assessments and penetration testing
- Automated backup with point-in-time recovery
- 24/7 security monitoring and incident response

8. Your Rights
Under UAE PDPL and applicable data protection law, you have the right to:
- Access the personal data we hold about you
- Request correction of inaccurate data
- Request deletion of data (subject to legal retention obligations)
- Withdraw consent for optional data processing

11. Governing Law
This Privacy Policy is governed by the laws of the United Arab Emirates. Any disputes shall be subject to the exclusive jurisdiction of the courts of Dubai, UAE.
